3. Obligatory vs. Voluntary Information & Consequences
Providing your personal data through our website enquiry forms is voluntary. However, certain fields are marked as obligatory (such as Full Name, Company Name, Contact Number, and Office Location/Postcode) because they are strictly required for MACROMAC to:
- Verify your organization and assess machine deployment logistics.
- Prepare and issue an accurate, itemized commercial rental, lease, or sales proposal.
- Dispatch field technicians or deliver equipment to your designated premises.
Consequences of Non-Supply: If you decline to supply the required obligatory fields, MACROMAC will be unable to verify your company, prepare a valid written quotation, or fulfill technician service dispatches. Optional fields (such as additional delivery notes) can be omitted without invalidating your enquiry.
4. Purposes of Processing & Legal Grounds
MACROMAC processes your personal data strictly for legitimate operational, contractual, and regulatory purposes, including:
We rely on lawful processing bases under Act 709: (i) your voluntary consent given upon enquiry submission; (ii) necessity for taking steps at your request prior to entering into a contract, or performing an existing rental agreement; and (iii) compliance with legal and statutory obligations in Malaysia.
5. Disclosure to Third Parties & Data Processors
MACROMAC does not sell, rent, or trade your personal data to commercial data brokers. Personal data is disclosed only to authorized classes of recipients on a need-to-know basis:
- Technology & CRM Processors: Our approved commercial enquiry routing platform (ScanLead) and secure hosting infrastructure (cPanel/WHM) that store and relay website enquiries to our sales team.
- Authorized Equipment Manufacturers: As an Official Dealership, equipment serial numbers and warranty claim information may be verified with Konica Minolta Business Solutions (M) Sdn Bhd for certified repairs and spare parts.
- Telecommunications & Messaging Providers: Telecommunication carriers and WhatsApp Business API gateways used strictly to transmit service updates and customer assistance messages.
- Professional Advisers & Authorities: Our external auditors, legal counsel, tax agents, and Malaysian regulatory or law enforcement bodies where mandated under Malaysian law or court order.
6. Direct Marketing & Remarketing Policy
MACROMAC maintains a strict policy of unbundled, optional, and transparent consent for marketing communications:
Your consent to be contacted regarding a quotation or technical enquiry is strictly limited to fulfilling that specific request. It is never used as an automatic opt-in for unrelated promotional broadcasts.
- Email Promotions: Periodic newsletters regarding seasonal photocopier rental packages and workplace printing advice.
- WhatsApp Updates: Direct WhatsApp notifications regarding warehouse hardware availability, machine upgrades, or promotional offers.
- Online Remarketing & Custom Audiences: Personalized digital advertising delivered through advertising platforms (such as Meta/Instagram or Google Ads) based on your interactions with our website.
7. Your Rights Under Malaysian Law
Under the Malaysian Personal Data Protection Act 2010 and the 2024 Amendments, you possess the following statutory rights regarding your personal data held by MACROMAC:
To exercise any of these rights, please submit a written request to our office via email at sales@macromac.my or phone at +603-7781 7877. We will respond within the statutory timeframe (21 days).
8. How to Opt-Out or Stop Promotional Messages
If you have previously opted into any promotional channel and now wish to stop receiving marketing messages, you may opt out at any time using any of the following practical methods:
- Email Marketing: Click the “Unsubscribe” link situated at the bottom of any promotional email, or email your request to sales@macromac.my.
- WhatsApp Broadcasts: Reply with the word “STOP” to our WhatsApp message, or send an opt-out request directly to our Sales Desk at +6019-263 0988.
- Digital Remarketing Suppression: Send an email with your organization's registered email or phone to sales@macromac.my requesting suppression from our advertising custom audience lists. You may also configure your personalized ad preferences directly within your Google and Meta accounts.
Important: Opting out of marketing broadcasts does not stop essential operational communications, such as quotes you have actively requested, rental billing statements, or emergency technical dispatch coordination.
9. Retention of Personal Data
MACROMAC does not retain personal data longer than necessary for the fulfillment of the purposes for which it was collected, subject to legal and statutory archiving requirements in Malaysia:
- General Enquiry Data: Retained for up to 12 months from the date of submission to assist in follow-up discussions, after which inactive lead records are securely archived or deleted.
- Contractual & Machine Service Records: Retained throughout the duration of the commercial rental or service agreement, and for up to 7 years following agreement expiration.
- Statutory Financial & Tax Records: Invoices, delivery orders, and payment records are retained for a minimum of 7 years in compliance with the Malaysian Income Tax Act 1967 and Companies Act 2016.
10. Data Security & Protection Standards
MACROMAC implements practical technical, administrative, and physical security measures in alignment with the Personal Data Protection Standard 2015 to protect your personal data from loss, misuse, unauthorized access, disclosure, alteration, or destruction:
While we take all reasonable commercial steps to protect your personal data, no internet transmission or electronic storage system can be guaranteed to be 100% immune from security threats. We continuously update our security protocols to maintain robust data protection.
11. Cross-Border Data Transfers
MACROMAC primarily stores and manages client data within Malaysia. However, in using global software services (such as cloud CRM routing, email servers, and website hosting infrastructure), personal data may occasionally be transferred to, stored, or processed by servers located outside Malaysia.
Where cross-border transfers occur, MACROMAC ensures compliance with Section 129 of Act 709 and the 2024 Amendments, taking all reasonable steps to ensure that third-party processors provide a standard of data protection comparable to that required under Malaysian law.
12. Cookies & Digital Analytics Technologies
Our website utilizes standard website cookies and privacy-respecting measurement scripts (such as Microsoft Clarity for UX diagnostics and conversion measurement tags) to understand page usage, troubleshoot interface performance, and verify campaign efficacy:
- Essential Cookies: Required for the secure operation of web forms, rate limiting, and session security.
- Analytics & Diagnostics: Anonymous behavioral recording (without keystroke logging in sensitive fields) to detect broken links and optimize mobile usability.
- Conversion Tags: Basic conversion event triggers that signal when an intentional enquiry is completed.
You can configure your internet browser to refuse cookies or alert you when cookies are being sent. Note that disabling essential cookies may affect certain interactive elements of the enquiry form.
